After successful installation, Sapience starts keeping track of your phone calls, applications used and locations travelled. One doesn’t have to register to use Sapience. However after registration one can avail of additional exciting features.

  • Standalone Mode: All the collected data remains on the device and you don’t need to register to any Sapience server.
  • Enterprise Mode: Data about business activities are uploaded to the Sapience server for further analytics while data about private activities never leaves the device. You need to register on the Sapience server where the business data is to be uploaded. This data and related analytics can be seen by logging on to the web client of Sapience server.

Summary:

This screen provides high level break up of time spent on Phone calls, Apps, Visits and Travel. It also tells you the number of times you unlocked the device screen. This screen also displays basic fitness data such as number of steps walked, time spent on walking and cycling.

You can view time spent on a specific day by changing the date. The date can be changed using swipe gesture. Time spent data can be viewed in day, week and month mode. Tap the date button to switch between three modes. If you long press the date, calendar view for current month is displayed. For the current month you can directly navigate to any date in the past.

For selected date or date range, you can view total mobile usage, travel and number of times you checked your phone.

For selected date or date range, you can view total time spent on calls and the number of calls. It is further classified as Work and Private.

For selected date or date range, you can view total time spent on travel and distance travelled. It is further classified as Work and Private.

You can also view total time different visits and total number of such visits. It is further classified as Work and Private.

Please note that a “Visit” indicates a place other than your home and your office that you visit regularly.

The Summary tab shows how much time was spent on different apps with split between Work and Private apps. It also shows top 3 apps used by you.

For selected date or date range, you can view basic fitness data such as number of steps walked, for how much time you walked and used your bicycle.

You can also view high level time breakup for the day or date range. It shows time spent at Home, Office, Travel and Visits.

Sapience registered users can graphically view the trends of their phone checked count and fitness data for selected time period by tapping on the small graph icon in the corresponding card.

Please note that these trends can only be viewed when you are in weekly or monthly mode.

Calls Tab

Sapience remembers all the incoming and outgoing calls. The summary of Work and Private call usage is displayed at the top. A list of all contacts and phone numbers with whom calls were made /received is also shown. You can tap on individual contact or number to view more details about the calls.

When call is made or received from a new number, an alert is displayed after the call, asking if it was a business call. This alert goes away if you don’t respond to it in 5 seconds.

This alert won’t appear in the following cases:

  • You have already responded to an alert for this number in past
  • You have manually changed the purpose for this number from the Call Tab

Phone calls can be viewed in day, week and month mode (Change Calendar View). By default data for current date (Today) is displayed. You can change date using swipe.

Registered Sapience users can also see basic analytics of calls for selected contact or number.

Each card indicates one person with whom you exchanged one or more calls.

The cards are arranged in decreasing order of call time. As usual, a card with blue coloured tab means it was a work related. You can click on the tab to change the purpose of the call. Tap on the card to see more details about the calls with selected contact.

You can see here Call details such as number of calls with this contact and their duration. It also shows shortest, longest and average call time.

The summary is followed by individual call records and whether it was an incoming or outgoing call. You can sort them by Date or Duration.

Location Tab

Sapience recognizes locations where you have spent more than 15 minutes and keeps track of travel between successive locations. In case of team level deployments, this threshold time of 15 minutes can be configured on Sapience server. This tab displays summary of business travelsand time at business locations at the top. Sapience automatically detects your Home and Office location or you can set it explicitly. It could take 2-5 days for Sapience to discover your Home and Office locations. You can tag a location with easy to remember name and change its Purpose through Location Pop-up. Similarly, you can change the purpose of a travel.

Locations can be viewed in day, week and month mode (Change Calendar View). By default data for current date (Today) is displayed. You can change date using swipe.

If Sapience has detected any new Place then it is shown by an indicator near the Location tab icon.

Location details are displayed when you tap a location. Here you can change Location type (Home/Office/Other), give a tag to location and also assign a purpose to the identified location.

You can also add a small note for the location here for future reference.  If you decide to share your location and travel report (through the menu option), then this note will appear there.

If you are a registered user, you can search locations based on the tag, address or the contents of the note.

Travel details are shown when you tap a travel entry. It shows travel details such as From, To, distance, start time, end time and total travel time. It also shows whether you walked, cycled or used motorized transport for this travel.

You can assign a purpose to travel and also add a small note to the travel. This note appears in your Location and Travel report (through a menu option). You can search for past travels based on the starting, ending location or the contents of the note.

Sapience captures a location only if you have spent more than 15 minutes at that location. If you are likely to spend less than 15 minutes at a location but want to record it, then you can capture location manually.

You can record a location manually by clicking the crosshair icon on the top right hand corner. Before accepting the manually captured location, you can view the captured location on map and then tap the OK button. The captured location is shown in the location tab immediately.

Please note that this manual location recording can only be done for current day (i.e. Today)

Apps Tab

Sapience tracks your app usage on the device. This tab displays summary of work and personal apps usage at the top. It also displays app wise usage summary. You can tap an app record to view more details of app usage.

By default, all newly discovered apps are marked to ‘Private’. You can manually change the purpose from App Detail Screen. You can navigate to App Details screen by tapping on the App of interest. Apps used can be viewed in day, week and month mode (Change Calendar View). By default data for current date (Today) is displayed. You can change date using swipe.

If you are part of an Enterprise / Team deployment, then you will also be able to assign an activity category to any app usage.

Each app used during the selected time period is shown in a separate card. It shows when that app was last used and total time for which it was used.

You can mark the application as Work or Private here.

You can see here specific app details such as number of times it was opened, total duration. If you are using Sapience app on Android 4.4 or 5.0 then you can also see URLs accessed through Chrome app.

If you are part of Enterprise / Team deployment, then you will also see the activity category of this app after the total duration. If required, you can change this category here.

The lower part of this screen lists individual time slots when this app was used. You can sort them by Date or Duration.

Registration

One doesn’t have to register to use Sapience. However one can avail of additional exciting features such as Analytics, Trends etc. by registering. Individual users can register as Sapience Buddy users. If you are part of Sapience deployment in an Enterprise then you need to register as Sapience Enterprise Users.

For Sapience Buddy users

If you are already registered as Sapience Buddy user then you can tap Sign In to proceed. You need to keep your Sapience credentials User Id and Password ready for signing in.

If you are not registered as Sapience Buddy user then you can tap Sign Up. You need to provide your name and your email address for Sign Up. Upon successful signing up you will receive an email with Sapience credentials on email address provided by you. You can then use these credentials to Sign In.

For Sapience Enterprise users

If you are part of Sapience deployment in an Enterprise then you can tap Sign In. You need to keep your Sapience credentials User Id, Password and your Enterprise’s Sapience Server name or IP address ready for Sign In.

Settings 

Common Sapience settings can be configured in Settings screen.

You can turn on/off tracking for Calls, Locations and Applications separately from here. You can also set time boundaries for tracking.

By default all new calls and locations are marked as Private. You could change that behavior such that new calls and locations are marked as Work, by checking the appropriate box.

Drawer menu

Following options are available in the Menu

  • Register: It will take you to the Registration screen. It will not be displayed if you are already registered
  • Set goals: You can use this option to set goals
  • Manage my Places: You can graphically view, edit, and delete various visited places recorded by Sapience and tagged by user. You can also add new places here in advance.
  • Analytics: You can search and analyse your travel, locations and calls data here.
  • Share: You can share Sapience summary screen on Social networking apps like Facebook or WhatsApp etc. Share option is also available for Location visited and travel.
  • Help: This option displays this very help document
  • Sync (Registered users only): Sapience uploads the data related to business activities to the Sapience server at defined frequency. However you can force an immediate upload by selecting this option.
  • Select current projects (Displayed only if you are part of enterprise / team deployment): All the business activities are allocated to your current project by default. You can select your current project (from the list of all the projects that you are assigned to) using this menu option.
  • Send Report: (available only when you are in Calls or Locations tab): Use this option to share Excel based report of your locations and travel (while in Location tab) or your calls (while in Calls tab).
  • Report issue/suggestion: You can use this option to send Sapience logs for troubleshooting purpose. It will invoke an email window with the logs attached. You can provide the email address of the intended recipient(s) and send.

Set Goals

Sapience allows you to set some predefined goals and notifies you when you accomplish that goal.

Currently you can pick from following two goals:

  • ‘I want to check / unlock my phone less than N times’
  • ‘I want to keep my phone usage to less than certain time’.

Once you set a goal, Sapience will notify you as and when you have accomplished the set goal and “goal accomplished” flag will be displayed on summary screen of that day.

Manage my places

You can graphically view, edit and delete the tags for various visited places recorded by Sapience. You can also add a new place which you will like to track. Places detected by Sapience and tagged by users or created manually by you will be shown in GREEN colour. Such places can be edited or untagged.

In case of Enterprise deployment you might also see places that were per-configured on Sapience server. These will be shown in RED colour. You will not be able to edit or un-tag Sapience Server configured places.

Please note that un-tagging a location doesn’t delete your visit to that location. It just removes the tag.

If you want to add a new place in Sapience then you first need to navigate to that place on map shown. You can then add a place by long press. You will see the new place in BLUE color and also details about the place. You can change location type, location tag and also select default purpose for the new place. When you add this place it will be remembered by Sapience. Whenever you visit that place its details are populated based on the details added by you.

Tapping on + icon will add this place.

You can tap an existing place to edit its details. You can only edit places automatically detected by Sapience or added by you. Places received from Sapience Server cannot be edited. Such places are displayed in RED colour.

Analytics

You can analyse your travel, locations and calls data here. This feature is available only if you are a registered Sapience user. Similar to a typical Search option you can enter a search text. Based on that search text Sapience will search your calls, locations and travels. It will display search result consisting of call, location and travel records.

As you can see in this example, Sapience searched all its past data and retrieves calls, locations and travel records where word ‘of’ is mentioned. It searches in the purpose name, location tag, contact name, notes  etc.

You can then tap individual record to view more details about that call, location or travel. You can tap Analysis icon (bottom right corner) to view analytics. It will display cool analysis of your calls, locations and travel.

Here you can see travel analytics for a particular travel. You can see interesting data such as total number of travels, total time spent on travel, shortest travel, longest travel and also average travel time.

It also lists all the travel records. You can then sort them on date or duration.

You can see here Call analytics such as number of calls, duration. It also shows shortest, longest and average call time.

Individual call records are listed below the analysis with details like incoming vs outgoing, date and time of call and its duration.

Here you can see location analytics for the selected location. You can see Location details, total time spent at that location, minimum time, maximum time and average time spent during visits to that place, till date.

Details of individual visits (date, time, duration and notes if any) to that locations are listed after the analysis. These location records can be sorted on date or duration.

End of the day Notification

At the end of the day Sapience notifies you about time spent on key activities such as accomplished goals, how many times you checked your phone, phone usage time, time spent in walking with number of steps, time spent at Home, Office and Visits time.  It tells you if you have visited any new place which is not tagged yet. It also gives travel distance and duration.
